STEP 1

Create the event

/beacon create opens a short form in Discord. The web wizard has five steps: basics, roles, appearance, buttons, schedule. Start from one of ten templates or your own.

It posts itself

The embed goes to your announcement channel with Sign Up, Leave and Options buttons the moment you save.

STEP 3

Members sign up by role

Pick a role, and a class or spec if the role has them. Full roles take a waitlist. Tentative, late, bench and absent are one click away.

The bot runs the night

Reminders fire on schedule, a voice channel opens before the start, and when the event ends a recap posts and attendance is credited.

Creating and managing events

From Discord or the web, with the same result.

A quick form in Discord. Name, description, when, a cap, and roles written as Tank:2, Healer:4, DPS:14, Flex.

A wizard on the web. Basics, sign-up roles, appearance, buttons and schedule, with a live preview of the embed.

Times the way people write them. Your server's time zone by default (UTC until one is set), or a time zone name, a common abbreviation such as EST or CET, or a fixed offset.

Cancel, close, reopen. A cancelled event is re-rendered with a Cancelled prefix and its buttons removed. Closing keeps the event visible but stops sign-ups.

Clone and recover. Copy an event onto a new date with its roles and reminders, or bring back a cancelled or completed one.

Events that repeat. Daily, weekly, every two weeks or monthly from the web editor, with an optional end date. When a run is over, the next one posts with the same roles, caps and reminders at the same local time.

A sign-up deadline. Stop new sign-ups a number of minutes before the start.

Roles, caps and the waitlist

The part raid leaders care about.

Per-role caps. Tank 2, Healer 4, DPS 14. A role can nest classes and specs, each with its own cap, and known role names get their own emoji.

A waitlist that promotes. When a role or the event is full, new sign-ups wait. The moment a spot opens, the longest-waiting member for that role is moved in and DMed.

No double-booking. Sign-ups and promotions run inside one locked transaction, so two people cannot take the last slot.

Statuses. Tentative, late, bench or absent from the Options button, without losing the spot.

Leave any time. One click, and the waitlist moves up.

Reminders and voice

So nobody has to set an alarm.

A server default reminder. 5 to 1,440 minutes before every event, 30 by default.

Custom reminders per event. As many as you like, each 1 to 10,080 minutes before the start, to the channel or by DM. Channel reminders mention everyone signed up.

Retried, then dropped. A reminder that fails is retried every minute up to 5 times, and the error is recorded.

A voice channel before the start. Turn on auto voice for an event and the bot creates the channel 1 to 120 minutes ahead, 15 by default, in a category you choose, optionally restricted to people who signed up.

And after. The channel is deleted when it empties, or 30 minutes after the start time at the latest.

Attendance and reputation

Who actually shows up, remembered.

Credited on completion. When an event ends, everyone marked attending is credited, late counts as partial, and no-shows are logged. Staff can bulk-mark attended or no-show from the event page.

Voice-checked. With auto voice on, a member who signed up but never joined the voice channel is logged as a no-show.

A score per member. 0 to 100 from attendance, streak, no-shows and late cancellations, with badges such as Iron Raider for a 20-event streak and Veteran at 100 events. /beacon rep shows anyone's.

A leaderboard. The server's most reliable members, on the Reputation tab.

Best times to schedule. An availability heatmap built from who signed up and who showed, with the top five two-hour windows for your server and each member's own active hours.

Polls

A small poll system that lives in the same service.

Buttons, not reactions. /poll create with up to 25 options, single or multiple choice, anonymous if you like.

Close by hand or on a timer. Anonymous polls hide the tally while open and reveal it when closed.

Six quick templates on the web. Yes or No, Yes No Maybe, days of the week, a 1 to 5 rating, A B C D, and time slots.

Export the votes. A CSV of every vote, with voter IDs blank for anonymous polls.

Templates, looks and exports

Build it once, and make it look like yours.

Ten built-in templates. WoW Mythic Raid, Mythic+, Heroic Raid, FFXIV Full Party, Alliance Raid, Light Party, PvP Night, Social Event, Meeting and Generic Raid, with role caps ready.

Your own templates. Create, duplicate, save any event as a template, and share one with another server by token.

Embed styling. Colour, thumbnail, banner and footer, custom fields with presets for location, requirements, loot rules, voice channel, contact and notes, and the ability to hide the built-in fields.

Up to five buttons. Sign Up, Leave, Tentative, Late, Bench and Options, with your own labels.

Attendee export. A CSV per event with role, spec, status, waitlist position and sign-up time, from /beacon export or the event page.

Analytics. Attendance rate over 90 days, popular event times as a heatmap, and the role distribution.

Upcoming and past events, quick stats, search and a category filter, and the settings card: announcement and log channels, the default reminder, default roles, and the auto voice category, lead time and restriction.

Runs on its own

A 60-second loop. Completes past events, posts their recap, credits attendance, sends due reminders, closes due polls, and creates or removes voice channels.

Waitlist promotion is instant. It happens in the same transaction as the leave.

Channels are checked. A deleted announcement, log or voice category is reported to the owner with a link to fix it.

Safety and permissions

Only the right bot acts. Every reminder, recap and voice channel is sent by the bot instance bound to your server, and skipped if that cannot be confirmed.

Channels must be yours. Announcement, log and voice category IDs are checked against your server before saving and again before posting.

Voice permissions are trimmed. Restricting a voice channel to sign-ups only applies the overwrites the bot is allowed to grant.

Owners control their events. Cancel, close and reopen need the organizer or Manage Server. Closing a poll needs its creator or Manage Server.

No mass pings from polls. A poll question can mention named members and nothing else.

What it does not do

Worth knowing before you set it up. If one of these matters to you, the marketplace may have a plugin that covers it.

No post-event ratings from members. The recap posts and staff can mark attendance.
No mirroring of one event into several channels or servers.
No auto-created discussion thread per event.
No link to Discord's own Scheduled Events.
No per-member DM reminder opt-out. Reminders are set per event by the organizer.

Perguntas

What happens when a role is full?

New sign-ups for that role wait. When someone leaves, the longest-waiting member is moved in and gets a DM.

Can I remind people by DM?

Yes. Add a reminder to the event with DM as the target. Members whose DMs are closed are skipped without an error.

Does it make a voice channel?

If you turn on auto voice for the event. It appears 15 minutes before by default, can be limited to people who signed up, and is removed when it empties or 30 minutes after the start.

How is reputation calculated?

From attended, partial and no-show counts, a streak bonus and small penalties for no-shows and late cancellations, on a 0 to 100 scale. With auto voice on, showing up means joining the channel.

Can I share my event setup with another guild?

Yes. Every template has a share token. The other server imports it from their Templates tab.

Can I run the same raid every week?

Yes. Set it to repeat weekly in the web editor. When one week's raid is over, the next one posts with the same roles, caps and reminders.
